How to get guests to actually upload their photos

Guests upload when the QR code is in front of them, when someone has said out loud that photos are wanted, and when it takes under a minute. Put a sign on every table, have one announcement after dinner, show the photos live on a screen, and send the link again the next morning.

What should you do before the event?

Test the upload yourself on two different phones, so you know exactly what guests will see. Print one sign per table and a few extra for the bar and the guest book. Tell two or three reliable friends about it in advance and ask them to upload early; an album with photos in it invites more.

What works during the event?

One announcement, after dinner and before the dancing, from whoever holds the microphone. Keep it to a sentence: the code is on your table, it takes a minute, we would love your photos.

A live slideshow does the rest. When guests see their own photo appear on the screen, the people next to them reach for their phones. With Heysnaps the slideshow updates as uploads arrive.

Do photo challenges help?

Yes, because they give people a reason to open the page again. Short prompts work best: a photo with someone you just met, the best dance move, the table next to yours. Five or six are enough.

What about guests who are not comfortable with phones?

Add the line “Open your camera and point it here” under the code, and seat a grandchild nearby. Because there is no app and no account, the whole task is scan, choose, send, which is as short as it can be.

What should you do afterward?

Send the link the next morning with your thank-you note, while the photos are still the first thing in everyone's camera roll. Send it once more a week later. The album keeps accepting uploads, so late photos are welcome.

What if the venue has poor reception?
Ask the venue for the guest Wi-Fi and print the network name on the sign. Guests can also upload later from home; the QR code and link keep working after the event.
Can guests upload videos too?
Yes, on plans that include video. Guests choose videos from their camera roll the same way as photos.
Do guests need an app or an account?
No. The QR code opens an upload page in the phone's browser. Guests pick photos from their camera roll and send them. Nothing to install, nothing to sign up for.
